Planning, setup and training
AI consulting for Virginia businesses, one step at a time.
Some companies want nothing to do with AI. Others want it everywhere by Friday. Either way, it’s new, it changes fast, and it has to be done right. Our AI consulting helps businesses across Richmond and central Virginia decide what AI should do for them, set the tools up safely, and roll them out in stages your people can keep up with.
Our whole team is local, never outsourced.

How it works
How we set up AI for your business
In our experience, someone on your team is probably already using AI at work, often without a policy to go by. We help you put it on solid footing one step at a time, without switching anything on for the whole company on day one.
Step 01
Goals and what’s possible
We talk through what you want AI to do for the business. If you’re not sure yet, we help you come up with ideas, then tell you what’s realistic for each one.
Step 02
Choosing the tools
We walk through Claude, ChatGPT and Microsoft Copilot: what each one is good at, where they overlap and which fits the work your people do.
Step 03
Ground rules and setup
Together we write your AI policy and acceptable use policy. Then we set the tools up properly, with your data kept out of model training and access tied to your company login.
- AI and acceptable use policies
- Data not used for model training
- Single sign-on
- Licenses by person and level
- Controls on sensitive data
Step 04
Pilot, then rollout
A small group of your most interested people goes first. We train them, they find the rough edges, and then the rest of the company comes on board.
- Pilot group trained
- Rough edges worked out
- Rolled out company-wide
- Day-to-day support starts
After rollout
What you have when we’re done
A clear AI policy
Your team knows what is and isn’t OK to do with AI.
Tools set up securely
Company logins, licenses you control and your data kept out of model training.
A trained team
Your people know how to use the tools for the work they do every day.
Ongoing support
Questions and problems go to the same team that set it up.
Start with a conversation
Tell us where your company stands on AI, even if it’s “not at all” or “not sure yet.” We’ll talk through what’s possible and what a rollout could look like for you.
Training
Training that gets your team building with AI
In our experience, most people use AI like a search bar. Your pilot group learns how the tools work, then builds things they’ll use every day and share with the rest of the company.
What we cover
How the tools work
- Projects, context and memoryHow the AI keeps track of your work and what it already knows.
- Skills and pluginsSaved instructions so nobody has to explain the same task twice.
- ConnectorsLetting the AI read from and work inside your other apps.
- ArtifactsThe documents, spreadsheets and pages it creates for you.
- Models and thinking strengthWhen to use a quick model and when to use a more careful one.
- UsageHow much work a request takes, which affects cost and limits.
What they build
Hands-on from the first week
- Their own daily brief, built as a skill and shared with others in the company
- A scheduled task, so that brief runs on its own every morning
- Connectors that pull in data from your other applications
- Spreadsheets and presentations built with AI, and a sense of what good output looks like
- A few skills of their own, once they see what the first one can do
After the rollout
Support that keeps up as the tools change
Once everyone is on board, we keep looking at how your team works and where the tools can help people get things done faster or work together more easily. The goal is to make people’s jobs easier.
Time and materials
The rollout itself
The planning, setup and training work, billed for the time it takes.
- Scoping and planning meetings
- Tool comparison and recommendations
- Your AI policy and acceptable use policy
- Secure setup and configuration
- Pilot group and company-wide training
- Workflow reviews and new builds
In your plan
Support once it’s live
Day-to-day support for the approved tools, included in your Managed Services plan.
- Help when someone can’t sign in
- License assignments and changes
- Permission and access changes
- Day-to-day support for the approved tools
- Settings kept working as the tools change
FAQ
Frequently Asked Questions
What does an AI consultant do?
An AI consultant helps a business decide what AI should do for it, then puts the tools in place safely. With us that happens in four steps. We talk through your goals and what is realistic for each one. We help you choose between Claude, ChatGPT and Microsoft Copilot. We write your AI policy and set the tools up with your data kept out of model training. Then a pilot group is trained first, before the rest of the company comes on board.
We don’t want AI in the business. Can you still help?
Yes. Plenty of companies aren’t ready, and that is a reasonable decision. What matters is that it’s written down, so we help you put a policy in place that says what is allowed. We can also limit access to AI tools on company devices and accounts so the policy holds.
Our staff are already using ChatGPT. Is that a problem?
Only if nobody has told them what they can put into it. The risk isn’t the tool, it’s client or regulated information going into an account your company doesn’t control. We write the policy and move people onto company accounts with clear limits, so nobody has to give up the ways they’ve found it useful.
Will AI companies train their models on our data?
Not if it’s set up correctly. Business plans from Anthropic, OpenAI and Microsoft can keep your data out of model training, but free and personal accounts often don’t by default. Part of the setup is making sure your company accounts are configured that way and that people are using them.
Should we use Claude, ChatGPT or Copilot?
It depends on the work. Copilot lives inside Microsoft 365, so it’s a natural fit if your company already runs on Outlook, Teams and SharePoint. Claude and ChatGPT are stronger for some writing, analysis and building tasks, and some companies use more than one. We walk through the options with you before anyone buys a license.
Will AI read files our staff shouldn’t see?
It will read anything a person can already open, which is why we check permissions first. Most companies have folders and sites that were shared broadly years ago and never tightened. We find and fix those before anything is switched on, rather than after an assistant surfaces them.
Is this about replacing people?
No. We look for the work that eats up people’s time, like drafting, summarizing and copying information between systems. The goal is for your team to spend more of the day on the parts of the job that need them.
What does it cost?
Rollout work is time and materials, and we scope it before we start so you approve a number rather than get surprised by one. Support of what we’ve already set up is part of your Managed Services fee. Licenses for the AI tools themselves are a separate per-user cost.
Do we need to be a Managed Services client?
No. Planning, policy and setup work stand on their own. Ongoing support of the tools is part of Managed Services, so clients on a plan stop paying for the rollout once it’s finished and it moves into day-to-day support.
How long does a rollout take?
It depends on the size of the company and how much needs to connect to your other systems. A small team with a simple setup moves quickly, and a larger rollout takes longer. Once the first meeting is done and the scope is clear, you get a timeline in writing.
We already bought licenses. Do we start over?
No. We start from what you have and check how it’s set up, then fix the settings rather than replacing anything. If some licenses aren’t being used, we’ll tell you.
Can AI connect to the other software we use?
Often, yes. Many business apps already offer a connector, and others can be reached through MCP, a standard way of letting an AI tool read from and write to another system. Where nothing exists yet, we tell you what custom development would take before any work starts.
Who trains our staff?
The same team that sets the tools up. Training starts with your pilot group and then moves to the rest of the company, using your own work as the examples rather than generic demos.
Do you work with businesses outside Richmond?
Yes. We work with businesses across Virginia. The planning, setup and training come from the same Richmond team that runs our managed IT services, with nothing outsourced.
